This role is all about keeping things running smoothly behind the scenes. You’ll manage day-to-day office tasks, provide personal assistant support to the Kaihautu (CEO/leader), and help the team stay organised and well-supported.

Key Responsibilities 1. Office & Systems Administration - Keep communication, filing, bookings, and supplies well-organised - Track petty cash, invoices, and receipts - Ensure the office is resourced and running smoothly
2. Personal Assistant Support to Kaihautu - Manage calendar, emails, and meetings - Organise hui (meetings), prepare agendas, and take minutes
3. Team Logistics & Coordination - Book team travel, vehicles, and accommodation - Support planning for events, wananga, and training - Keep contact and resource lists up to date
4. Staff Onboarding & Exiting - Assist with recruitment, induction, and exit processes - Set up files and collect equipment as needed
5. Health, Safety & Risk Management - Act as the office H&S Officer - Keep safety plans and records up to date - Support emergency readiness and wellbeing
6. Front-of-House & Communications - Greet visitors and answer phones - Respond to general enquiries warmly and professionally
7. Additional Support - Take on other tasks from the Kaihautu as needed - Be flexible and responsive to team needs
Job Requirements
- Proven admin experience in a busy team - Confident using MS Office, Google Drive, SharePoint, etc. - Experience in kaupapa Maori or values-based organisations (advantage) - First Aid and/or Health & Safety certification (or willing to gain it) - Full NZ driver’s licence
