Provide general administrative support to the operations team. Diary management and organizing meeting Training staff in new systems and business processes Prepare client contract agreements, budget drafts, and administrative tasks with Orchard Management Onboard new client data into the system efficiently and accurately. Collaborate with team members to ensure smooth operations and effective communication. Managing the purchasing process for stationery, PPE and other general consumables Onboard new client data into the system efficiently and accurately. Assist with HR recruitment processes, including job postings, candidate screening, interview coordination, employment agreement drafting and reviews. Backup for Payroll Administrator during leave absences Recruitment, onboarding, and offboarding of employees Assistance with employee relations and performance management Assisting with inductions and completing training records Providing personal assistance and administrative support to the Directors Preparation of documents and correspondence – letters, reports, spreadsheets, presentations, marketing material, advertisements, templates Booking and managing training and travel arrangements Liaising with external stakeholders and managing correspondence Systemization of processes and procedures to ensure continuous improvement of business practices Assisting with completing recruitment documentation of overseas workers and liaising with various government departments Health & Safety administration Managing advertisements for recruitment of labour across various platforms and social media Management of creditor accounts payable Management of the admin team to ensure clear delegation and support Promote a positive work environment through effective communication and teamwork

Job Requirements

At least 3 years’ experience in an Office Management or Senior Administration role Previous experience with Human Resources and Recruitment Previous experience in Health & Safety policies, procedures, and administration is highly desirable Industry knowledge and experience within Kiwifruit or Horticulture an advantage Advanced computer skills with Microsoft Office packages and ability to pick up new software quickly, including creating and manipulating spreadsheets, Word, PowerPoint, Excel, Outlook, Office 365 (Microsoft Teams) Experience with leading and managing a small team Accustomed to working under your own direction in a systematic way Display strong motivation to be proactive and use your initiative to complete tasks in a timely manner Flexible and a fast learner The ability to communicate effectively to a multi-cultural team Excellent organisational skills to manage workflow Adaptable to work across multiple projects simultaneously, whilst prioritising accordingly Ability to multi-task and adapt to an ever-changing environment A strong work ethic, a positive attitude, and the ability to collaborate effectively within a team The ability to problem-solve and rectify issues Preferably experienced in the kiwifruit/horticulture industry, but not essential. Relevant Certificate or Diploma in Business Admin, Management, HR or similar. Preferred but not essential Able to pass a drug test Clean criminal record Full clean car licence
