About this job

We are seeking an organised and proactive Personal Assistant PA to support the Director of a Maaori-owned organisation in Rangiriri, Iwi Office and Home-Based (to be negotiated), delivering innovative, community-focused services across industries such as Tourism, Education, Professional Development, School Governance, Corrections, and Maatauranga Maaori. This role is essential in managing the Director’s day-to-day responsibilities and fostering collaboration within and beyond the organisation.

Primary Responsibilities:

- Diary and Schedule Management: Organise the Director's calendar, meetings, and resolve scheduling conflicts to ensure optimal time management. - Travel Coordination: Arrange travel logistics, including transportation, accommodations, and itineraries, while balancing cost and convenience. - Meeting Support: Prepare materials, set up meetings, and record/distribute minutes with actionable follow-ups. - Administrative Tasks: Manage reports, presentations, and filing systems with accuracy and attention to detail. - Event Coordination: Plan and execute events, handle vendor communications, and ensure logistical success within budget. - Communication: Facilitate effective internal and external communication, ensuring the Director is informed of key matters. - Cultural Support: Contribute to projects aligned with Maatauranga Maaori values and ensure a welcoming environment for stakeholders.

Job Requirements

-Proven experience in office administration or a similar role, preferably as a PA or EA supporting senior-level staff. -Full Class 1 Drivers License -Proficiency in Microsoft Office Suite and relevant software applications. -A strong understanding of Tikanga and Te Reo Maaori is an advantage. -Outstanding written and verbal communication skills. -Excellent organisational skills with a keen attention to detail. -Capacity to manage competing demands and prioritise tasks efficiently. -Flexibility regarding working hours and ability to work under pressure. -Commitment to uphold our values of "Ture, Whakapono, and Aroha." -Must be able to pass MOJ and drug test

Location: Rangiriri, Iwi Office and Home-Based (to be negotiated)

Days of work
Monday to Friday 8:30am -4:30pm. Fixed Term for a year. (40 hours per week)
