Position Overview We are seeking a highly organised and experienced Accounts Administration Assistant to support the financial operations of our Conservation Nursery Whanau Trust. This role is responsible for maintaining accurate financial records processing transactions and supporting day to day accounting functions using Xero systems. The ideal candidate will bring strong accounting knowledge attention to detail and experience working with Xero Accounting Xero Payroll and Xero Projects. This role requires someone who values community environmental stewardship, and working within a kaupapa Maori whanau centred organisation.
Key Responsibilities Two Positions 20 hours pwk and 8 hours pwk Accounts & Financial Administration
Maintain and update financial records accurately in Xero Accounting Process accounts payable and receivable, including invoicing and reconciliations Perform bank reconciliation and ensure timely monthly processing Assist in preparation of financial reports, budgets, and audit documentation Monitor cash flow and support financial decision-making
Payroll Administration
Manage payroll processes using Xero Payroll Ensure accurate processing of wages, PAYE, KiwiSaver, and leave entitlements Maintain employee records and ensure compliance with NZ employment legislation
Project Financial Support
Track and manage project budgets using Xero Projects Monitor expenditure against funding and project allocations Assist with reporting to funders and stakeholders
General Administration
Maintain filing systems and financial documentation Assist with compliance reporting and audits Provide administrative support to the wider team as required Support continuous improvement of financial systems and processes
o Work From Home (with preference to South Auckland)
Job Requirements
Candidate Requirements Essential Skills and Experience
Advanced working knowledge of Xero, including: • Xero Accounting • Xero Payroll • Xero Projects
• Minimum 2–3 years experience in an accounts administration or similar role • Strong understanding of sound accounting principles and practices Experience with:
• Accounts payable and receivable • Bank reconciliations • Payroll processing
• High attention to detail and accuracy • Strong organisational and time management skills • Ability to maintain confidentiality and handle sensitive financial information
Qualifications • Relevant qualification in Accounting, Finance, or Business Administration • Alternatively, equivalent practical experience in an accounting role
Desirable Attributes • Experience working in a not-for-profit, iwi, or community-based organisation • Understanding of kaupapa Maori values and tikanga • Experience handling project-based financial tracking • Strong communication skills and ability to work collaboratively within a whanau environment
Personal Attributes • Honest, reliable, and trustworthy • Proactive and self-motivated • Strong problem-solving ability • Passion for conservation, community development, or environmental kaupapa • Have an up to date CV on file • Able to pass pre employment checks including Drug test and • MOJ (MOJ must be clean) • Reliable transport and minimum Full NZ driver licence as this is a rural location where Public transport is not an option (Clevedon Location)
