Join our team as an Support Officer for fixed term and play an important role in supporting New Zealand’s Voting process. In this role you will be responsible for providing timely, efficient, and quality support to the Team Lead, members of the team, and other staff . This includes managing public enquiries, regional and unpublished applications, as well as managing enrolment resources and data requests. You will be responsible for managing inward and outward mail to regions, processing data requests, and delivering public advice in an accurate and timely manner. Requirements of your role may change over time to meet the needs of the organisation.

• Contribute to the Commission's administrative functions by scanning updates to processing centres and assisting with internal maintenance requests from the regions to ensure smooth operational flow. • Support the Team Lead and the wider team, providing additional administrative functions as required to maintain team productivity • Review, investigate, and process Unpublished Roll applications from the public ensuring all records are accurate and up to date. • Build and maintain effective relationships with key contacts for the Unpublished Roll to facilitate seamless communication and problem-solving. • Contribute to the development of procedures and correspondence to provide clear guidance regarding the Unpublished Roll. • Proactively recommend improvements to the Unpublished Roll process to enhance accuracy and efficiency • Manage customer contacts, including calls escalated from the Commission’s call centre, ensuring all interactions are logged and tracked through the Zendesk system. • • Effectively triage incoming work to ensure complex or specific items are referred to the correct team in a timely manner. • Contribute to resolving requests and issues in accordance with the Commission’s Complaints Management Process to uphold service standards. • Recommend improvements to customer handling procedures to strengthen public trust and enhance the overall service experience.

Job Requirements

• A background in call centres or contact centres would be desirable. • Previous experience working on a general election would be desirable but not essential. • Relationship management skills and ability to work in a team • Planning and organisational skills • Ability to work with the detail but understand the bigger picture • Problem analysis skills and good judgement • High level of flexibility and ability to multi-task • Strong written and verbal communication skills • High level of computer skills in packages beyond MS Word • Demonstrated ability to work independently and to show guided initiative. • Must pass police vetting and drug test
