About this job
A Business is expanding its mahi in the Wellington region with the launch of Whitiora - Out of Gate Complex Needs, a new reintegration service supporting men and women with complex needs as they transition from prison back into the community.
We are looking for a full time Administrator.
As an Administrator, you will play a key role in the providing efficient administrative, coordination, and reporting support to ensure service delivery is accurate, compliant, and audit-ready, enabling staff to focus on participant outcomes.
Key responsibilities:
Administration & Coordination • Provide day-to-day admin support to the Whitiora team • Manage referrals, participant movements, and service schedules • Coordinate programme activities (prison and community-based)
Reporting & Data • Maintain accurate, timely records (participants, attendance, plans) • Prepare monthly, quarterly, and ad hoc reports • Support audits, monitoring, and data analysis
Compliance & Records • Maintain secure records in line with Privacy Act, contracts, and policies • Ensure compliance with Corrections requirements • Support audits and ensure records are audit-ready
Communication & Support • Act as central admin contact • Support communication with Corrections and stakeholders • Prepare correspondence and escalate issues early
Financial & Contract Support • Assist with invoicing and service tracking • Maintain records supporting contract compliance

About you
Experience & Qualifications
Essential: • Administrative or coordination experience • Handling confidential information
Desirable: • Social services, justice, or NGO experience • Government contract/reporting familiarity
Skills & Attributes • Highly organised with strong attention to detail • Clear communicator, professional and reliable • Able to prioritise and meet deadlines • Confident using Microsoft Office • Maintains confidentiality and discretion
Additional Requirements • Meets Corrections vetting/security requirements • Works within Corrections systems and organisational policies • Will need to pass a pre-employment MOJ check and Drug test • Will need to have an up to date CV
