The Transport & Logistics Office Administrator provides administrative and operational support to ensure the smooth running of transport and logistics activities. This role is responsible for coordinating documentation, scheduling, customer communication, and compliance reporting, while supporting drivers, managers, and clients with timely and accurate information. Key Responsibilities Administration & Coordination • Manage day-to-day office administration for the transport and logistics team. • Prepare and maintain transport documentation, delivery dockets, manifests, and invoices. • Schedule and track deliveries, ensuring timely communication with drivers and customers. • Maintain accurate records of fleet servicing, driver compliance, and safety checks. Customer Service • Act as the first point of contact for customer enquiries, providing updates on deliveries and resolving issues promptly. • Build positive relationships with clients, suppliers, and contractors. • Support operations team with quotations, booking requests, and order processing. Compliance & Reporting • Ensure all documentation meets legal and company compliance standards (NZTA, H&S, Chain of Responsibility). • Assist with health and safety reporting, incident documentation, and driver logbook checks. • Compile transport and logistics performance reports for management review. Financial & Office Support • Process purchase orders, invoices, and timesheets accurately and on time. • Assist with payroll data entry for drivers and logistics staff. • Provide general office support including filing, data entry, and reception duties when required. Key Skills & Attributes • Strong organisational skills with attention to detail. • Ability to multitask and manage competing priorities in a fast-paced environment. • Excellent written and verbal communication skills. • Strong customer service orientation and problem-solving ability. • Proficient in Microsoft Office Suite and logistics/transport management systems.
Job Requirements
Qualifications & Experience • 3 - 5 + years’ experience in administration (transport/logistics industry preferred). • Knowledge of transport compliance and documentation (advantageous). • Experience with Xero accounting software, payroll support, or ERP systems (preferred but not essential).
